Google - Accessing Data From a Former Employee

If you have recently submitted an employee exit form, this is how you can access that former employee’s data.


G Suite

Email - the employees mailbox will be available until the date you specified on the form. The former employee’s mailbox has been delegated to you, but will not be available until you refresh your GMail view in Chrome by pressing F5 to reload the page. After reloading the page, click your account picture at the top right and under it you will see any mailboxes that have been delegated to you. Click on them to open their mailbox in another tab.

This only applies to email they received prior to their exit date. Any new email sent to their address will show up in your inbox moving forward. You can create a filter and a rule to automatically skip your Inbox and move them to a label if you wish to keep them out of your Inbox.

Google Drive - The contents of their Google Drive data have been transferred to you. If you open your Google Drive page you will see a folder with the name of the former employee’s email address.

My Documents
If they had data in their ‘My Documents’ folder IT will move that folder to the Desktop of your Computer if it is accessible at the time. If not, it will be moved into your ‘My Documents’ folder. We hope by now everyone is saving company data to Google Drive and not under ‘My Documents’, so there shouldn’t be much of anything relevant in this folder.
